JOB SUMMARY
The Mailroom Clerk, internally referred to as the Mailroom Specialist is a vital member of the Mail Operations team, responsible for executing the day-to-day functions of the organization's mail and print services. This role involves handling incoming and outgoing mail, scanning and distributing documents, maintaining supply inventories, and supporting internal departments with administrative tasks. The position also provides assistance to the Policy Services team with insurance-related processes.

DUTIES AND RESPONSIBILITIES
- Receive, sort, and distribute incoming mail and packages to appropriate departments
- Scan incoming checks and documents into designated systems with accuracy and confidentiality
- Process incoming faxes and ensure timely delivery to relevant teams
- Prepare and send outbound mail, including assembling and printing documents for mailing
- Maintain accurate logs of received packages and checks
- Monitor and replenish mailroom and office supplies as needed
- Support offsite storage management, including inventory tracking and retrieval requests
- Ensure compliance with HIPAA and organizational confidentiality standards
- Assist the Policy Services team with administrative support
- Respond to internal requests via email and in person in a timely and professional manner
- Participate in special projects and perform other duties as assigned
QUALIFICATIONS
- High school diploma or GED required
- Prior experience in a mailroom, facilities, or administrative operations role preferred
- Strong organizational skills with the ability to manage multiple tasks and shifting priorities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat
- Accurate data entry skills and attention to detail
- Ability to lift and move up to 50 pounds and perform physical tasks such as bending and reaching
- Demonstrated ability to work independently and collaboratively in a fast-paced environment
